The application process.

Submit your application

The first step in your journey with Acicis is applying to your program of choice. Acicis programs are open to everyone, student or not, but it’s important to remember that if you are a student you will also need to apply to your university for credit if relevant.

For your Acicis application, you will need to obtain and submit the following documents:

All Acicis Programs
• A colour flat-scan of your passport information pages
⁃ For short-term programs, your passport must be valid for at least 7 months from the program start date
⁃ For semester programs, your passport must be valid for at least 12 months from the program start date

• Your latest academic transcript

• Nominate a referee to give you a reference. Following your application, they will receive an email from us to complete their online reference.
Professional Practicum Programs
In addition to a scan of your passport, your latest academic transcript and nominating a referee, you will also be required to submit:

• A 500-word statement outlining your industry skills, work style, personality, career aspirations, and expected benefits from the program.

• Your latest resume.

• Your nominated preferred sectors and placement types. Make sure you mention any specific organisations you wish to intern at. View the full list here.

Note: While you can nominate a specific organisation, the placement is not guaranteed so flexibility is key!

If you’re looking for a way to fund your study abroad, there are a range of funding options available to participants.

One of these initiatives is the New Colombo Plan (NCP) Mobility Program which is funded by the Australian Government. This initiative aims to increase knowledge of the Indo-Pacific in Australia by empowering undergraduate students to study, learn, and complete placements in stunning places like Indonesia. There are grants available ranging from $3,000 to $10,000.

If you are eligible for the New Colombo Plan funding, you can use it for our science and agriculture programs. Depending on your state and university, you may be eligible for other types of funding that can also be used when you study abroad with us.

Frequently asked questions

When will I find out about the outcome of my application?

Around one month after the Acicis application deadline, you’ll receive your application outcome via email, with a successful outcome being an acceptance letter. 

Are there any entry requirements or prerequisites to be selected for a program?

We take a holistic approach to application vetting and because of this, we do not have entry requirements for our programs. When you apply to Acicis, you will need to submit your latest academic transcript and the contact details of an academic or professional referee. If you are in good academic standing and submit a strong application, you will likely be selected for the program. In some cases, Acicis may request to interview you prior to making a decision on the outcome of your application.

If you are currently a student, your university may have their own entry requirements so you must also check with them to see if you are eligible.

Can I get credit for the program? How much credit will I get?

All Acicis programs have been designed to meet the credit requirements at universities in Australia, meaning you will be able to get credit from all of our programs. The academic credit earned from the program is determined by your home university. If you’d like to learn more about how much credit you can receive, we recommend you ask your home university.

How does Acicis match me with a professional placement organisation?

Step 1: The first step to matching you to a professional placement organisation is understanding your preferences. In the application form, you’ll be asked to nominate your preferred sectorial interests and placement types. You can also nominate preferred host organisations. Applicants should be aware, however, that they are applying for the program, not a specific placement.

Step 2: Our staff are experts in matching applicants with professional placement organisation based on their nominated interests. Once your preferences have been submitted, a summary of your application will be submitted to the professional placement organisation that are in line with your specific sectorial interests. Please do not contact professional placement organisation independently of Acicis unless advised otherwise. This is generally not appreciated by professional placement organisation.

Step 3: Professional placement organisations will consider applicants against their own criteria and requirements. Some will interview you prior to accepting you for a placement. You will be contacted via email to set up a video interview if this is required. Please don’t worry if you aren’t contacted prior to receiving your placement notification letter, many professional placement organisations don’t require an interview prior to accepting a student.

Step 4: Notifications will be sent approximately three weeks prior to the start of the program. In most cases, participants will meet their professional placement organisation mentor once the program commences.

Can I choose my internship placement?

When you apply, you can select your placement preferences. While you can nominate specific organisations, they are not guaranteed, so flexibility is key! Our staff will match you with organisations based on your interests, your experience and availability of placements.

How do I increase my chances of being allocated to a specific placement?

Beyond submitting a strong application, there are no extra steps you can take to increase your chances of receiving a particular placement. Unless you are advised otherwise by Acicis, you should not communicate with professional placement organisations directly before you travel. This can lead to confusion and is generally not appreciated by professional placement organisations.

How do I get to Indonesia? Will Acicis organise my flights?

While you will be responsible for booking and paying for your flights to and from Indonesia, Acicis will provide guidance on navigating travel to and from Indonesia in your acceptance letter. It’s important not to book flights before you receive this acceptance letter, as semester dates are subject to revis

Where will I live? Will Acicis organise my accommodation?

During your orientation, Acicis will book and organise accommodation at a hotel to give you time to settle in and prepare for your study abroad experience.

There are several accommodation options in Indonesia, including Kos (student boarding houses), share houses, homestays, apartments, and more! At Acicis, we’re here to guide you through these choices, to make sure you find accommodation that suits your needs and budget. Acicis strongly recommends that you wait until you are in Indonesia to book your accommodation. This means you get the chance to physically look at options before making any financial commitments.

How do I get a visa?

Acicis will send you a visa application package with your acceptance letter. You will have approximately two weeks to complete and return the application to Acicis. You will also pay the visa fee to Acicis. We will then lodge the application on your behalf. Indonesian visas are issued electronically, which means you do not need to visit an Indonesian Embassy or Consulate, or send your passport anywhere. How do I get travel insurance? Is it compulsory?

Travel insurance is compulsory and must be submitted with your visa application. You may be covered by your home university’s travel insurance policy (check with your study abroad office) or you may need to purchase your own travel insurance.
